Triathlon Club Participation Programs

For the 2008 Philadelphia Insurance Triathlon, we’re announcing two exciting Triathlon Club programs.  The first program offers Expo booth space and a post-race celebration tent to clubs in exchange for volunteer participation.  The second program is a modified Club Challenge, featuring a trophy and $500 cash for the winning Club team. 
 
Expo Booth/Celebration Tent Program
Do you want to promote your triathlon club and recruit new members at the Philadelphia Insurance Triathlon Expo?  Do you want to have a place for your club members to meet and celebrate after they cross the finish line on race day?  If so, sign up for the Expo Booth/Celebration Tent Program. 

Here's how it works:
- Designate a representative from your club to communicate with us regarding the Program.
That representative should respond to this e-mail indicating that your club would like to participate in this program.
- If your club wants to participate, we will send you an agreement in early April.  As part of this agreement, clubs will be asked to provide volunteers to assist with race weekend activities.  Volunteers can include friends or family members of club memebers.  In exchange, clubs will receive the following:
- - For 10 volunteers, clubs will receive booth space at the Expo. Clubs must agree to have a representative at their booth for the entire period the Expo is open (Friday, June 20 4 pm until 8 pm, and Saturday, June 21, 9 am until 6 pm). People "manning" the club booth do not count as race volunteers.

For 20 volunteers, in addition to booth space at the Expo, a club will receive a tent and signage near the race finish for the purpose of club post-race celebration/tailgate activities, for the Olympic distance race (Sunday, June 22, 2008).

For 30 volunteers, clubs will receive Expo booth space, post-race tent and signage, and assistance in getting their tailgate gear, food and beverages to their tent near the finish area.  In the past, this has posed a logistical issue for clubs since parking is at least 1/2 mile from the finish area.
 
Clubs will be asked to return their agreement and roster of at least 10 volunteers in late-April. Clubs will be allowed to add additional volunteers after their agreement is returned, but must have at least 10 volunteers to reserve Expo booth space at the time they return the agreement. Subsequent deadlines to reserve tailgate tent space and assistance will be in early June.  Since we will not know until after the race whether or not your club fulfilled their volunteer commitment numbers, we'll need your club to operate on the honor system. However, if a club falls short on their commitment in 2008, they will not be able to take advantage of club benefits (Expo booth, tailgate tent or participate in the Club Challenge) in 2009.
 
Club Challenge
For 2008 we've modified the Club Challenge to encourage more participation and increase the value of the awards.  This year, clubs will be able to accumulate points for both the Sprint race and the Olympic race, and points will be awarded for overall and age-group placing, as well as participation.  Points will be awarded for both races as follows:
First overall:                   10 points
Second overall:               8 points
Third overall:                    6 points
First in age-group*:         5 points
Second in age-group*:   4 points
Third  in age-group*:       3 points
Finisher:                           1 point

*Including Masters and Clydesdale categories. 
The winning club will receive a trophy and $500 cash.  Relay teams and pros will not be eligible for Club Challenge points.  Individuals who win points for placing will not get an additional "Finisher" point.  Initial Club Rosters must be submitted to me by May 15, 2008.  Club members can be added to the roster until  Monday, June 16, 2008.
